Travel and Away Match Supervision Policy

1. Purpose

This policy sets expectations for travel, away matches, blitzes, tournaments and any club activity away from the normal training venue.

2. Planning

The coach or team manager should provide parents/guardians with venue, address, arrival time, expected finish time, kit requirements, transport arrangements and emergency contact details as early as possible.

3. Parent / Guardian Responsibility

Unless the Club has specifically organised transport, parents/guardians are responsible for getting their child to and from matches and events. Private arrangements between families are not normally club transport arrangements.

4. Club-Organised Transport

Where the Club organises transport, the Committee should approve the arrangement in advance. Appropriate supervision, consent, emergency contacts and travel details should be recorded.

5. Supervision

  • There should be appropriate adult supervision for the age and number of players.

  • Adults should avoid one-to-one unsupervised situations with a child where possible.

  • Players should know where to meet before and after games.

  • Players should not leave the venue without permission from the coach/team manager and parent/guardian.

  • Changing rooms should be supervised appropriately and respectfully, with adults avoiding unnecessary presence in changing areas.

6. Transport by Private Car

A coach or volunteer should not transport a child alone except in an emergency or where specific parent/guardian consent has been given and recorded. Drivers are responsible for ensuring that their vehicle is roadworthy, insured and legally compliant.

7. Overnight Trips

Overnight trips require additional planning and Committee approval, including written parent consent, accommodation arrangements, supervision ratios, rooming plans, codes of conduct, medical details and safeguarding risk assessment.

8. Emergencies

The team manager or coach should carry emergency contact details and relevant medical information. Emergency incidents should be reported under the Injury and Incident Reporting Procedure. General team manager, coach, travel or away-match queries may be routed through the Club Registrar (registrar.sgsbc@gmail.com) or main club email / General Manager (sgstormersbc@gmail.com); safeguarding concerns should be directed to the Club Children's Officer (cco.sgsbc@gmail.com) or Designated Liaison Person (dlp.sgsbc@gmail.com).

9. Behaviour While Travelling

Players represent the Club while travelling. The Player Code of Conduct applies during travel, meals, accommodation, venues and downtime.
