Version 1 Policy Document
Status: Version 1 for committee adoption and use by the South Galway Stormers Basketball Club. This document should be reviewed against current Basketball Ireland, Sport Ireland and legal requirements before adoption and during each review cycle.
Document owner: Volunteer/Fundraising Lead (volunteer.sgsbc@gmail.com) / Club Children's Officer (cco.sgsbc@gmail.com)
Version: Version 1
Prepared for: South Galway Stormers Basketball Club
Version date: 14 July 2026
Review cycle: Annual or sooner if Basketball Ireland/Sport Ireland guidance changes
1. Purpose
South Galway Stormers Basketball Club depends on volunteers. This policy supports safe, fair and effective recruitment, induction and support of volunteers.
2. Volunteer Roles
Volunteers may support coaching, assistant coaching, team management, table duties, fundraising, communications, events, facilities, committee work, safeguarding, administration, kit and general match-day support.
3. Recruitment Principles
Roles should be clearly described.
Volunteers should be selected based on suitability, reliability, conduct and club need.
All relevant safeguarding, vetting and training requirements must be completed before a volunteer begins relevant work with children.
No volunteer should be placed in a role simply because they are available if the role is unsuitable or unsafe.
4. Recruitment Process
Expression of interest or nomination. Volunteer enquiries should be sent to the Volunteer/Fundraising Lead (volunteer.sgsbc@gmail.com).
Informal discussion about role, availability, experience and expectations.
Committee approval or role confirmation where appropriate.
Completion of Garda vetting, safeguarding training, Basketball Ireland registration or coach licensing where required.
Code of Conduct acknowledgement.
Induction and assignment of a club contact.
5. Induction
Each volunteer should receive basic induction appropriate to their role. This may include club values, safeguarding contacts, code of conduct, role expectations, communication channels, incident reporting and who to contact for help.
6. Supervision and Support
New volunteers should be supported by an experienced coach, team manager or committee member. The Club should provide opportunities for training, feedback and development.
7. Junior Volunteers
Young people aged 16 or 17 may help in appropriate roles if supported and supervised. They should not be placed in sole responsibility for children. Current Basketball Ireland vetting and safeguarding requirements must be followed.
8. Concerns About a Volunteer
Concerns about volunteer conduct should be raised with the Secretary (secretary.sgsbc@gmail.com), main club email / General Manager (sgstormersbc@gmail.com), Club Children's Officer (cco.sgsbc@gmail.com), DLP (dlp.sgsbc@gmail.com) or Volunteer/Fundraising Lead (volunteer.sgsbc@gmail.com) as appropriate. Safeguarding concerns must be handled under the safeguarding policy.
9. Ending a Volunteer Role
The Club may end or restrict a volunteer role where a person is no longer suitable, available, compliant with requirements, or acting in the Club's interests. Volunteers may also step down by notifying the Volunteer/Fundraising Lead (volunteer.sgsbc@gmail.com) or Secretary (secretary.sgsbc@gmail.com).
